These Booking Terms & Conditions apply to travel arrangements, safari packages, accommodation, flights, transfers, MICE programmes and other travel services booked through LeviaMICE Travel (“LeviaMICE”, “we”, “us” or “our”).
By making a booking or payment with LeviaMICE, the person making the booking (“the Lead Traveller”) confirms that they have read and accepted these terms on behalf of themselves and all travellers included in the booking.
1. CHILD POLICY
For the purposes of our travel packages, a child is a traveller under 18 years of age.
Accommodation and child rates are subject to the policies and availability of the individual property or supplier. Where applicable:
- Children under 12 years sharing a room with adults may be accommodated subject to the maximum occupancy permitted by the property.
- Travellers aged 12 to 17.99 years may be accommodated in their own room where permitted and subject to availability.
- Where children under 18 years travel with one adult, the applicable child rate will apply to the child and the adult will be charged according to the applicable adult occupancy rate.
- Children under 14 years are generally recommended to share accommodation with an accompanying adult unless the accommodation provider expressly permits otherwise.
LeviaMICE reserves the right to apply a property’s specific child, occupancy and age restrictions where these differ from the general policy above.
2. BOOKING & CONFIRMATION
A booking request does not constitute a confirmed reservation.
A booking becomes confirmed only after:
- Availability has been verified;
- The quotation and booking details have been accepted;
- The required deposit has been received; and
- LeviaMICE has issued confirmation of the booking.
Availability, accommodation, flights, rates and inclusions remain subject to confirmation until the booking has been secured.
3. PAYMENT & DEPOSIT POLICY
For the featured luxury safari packages, a 40% deposit is required to secure the booking.
The deposit is applied toward the total booking value.
The remaining 60% balance is payable no later than two weeks before the scheduled travel date, unless a different payment schedule has been expressly agreed in writing by LeviaMICE.
Bookings that are not secured by the required deposit within the period specified in the quotation may be released without prior notice.
Where a supplier requires an earlier or different payment deadline, LeviaMICE may communicate that requirement to the traveller before confirmation.
4. GROUP BOOKINGS
For LeviaMICE purposes, a booking involving 5 or more rooms or a group travelling together as part of one organised itinerary may be treated as a Group Booking.
Group bookings may be subject to different:
- Deposit requirements;
- Payment deadlines;
- Cancellation conditions;
- Rooming arrangements;
- Flight conditions; and
- Supplier terms.
These conditions will be communicated to the Lead Traveller before the booking is confirmed.
5. CANCELLATION POLICY
Cancellation charges are calculated according to the amount already committed to accommodation providers, airlines, safari operators, transport providers and other suppliers.
Unless a different cancellation schedule has been expressly stated in the traveller’s quotation, the following LeviaMICE cancellation structure applies:
More than 60 days before travel
The deposit is non-refundable.
Where suppliers have imposed additional non-refundable charges, these may also be deducted from any applicable refund.
60–31 days before travel
Up to 50% of the total booking value may be retained as cancellation charges.
30 days or less before travel
Up to 100% of the total booking value may be charged.
No-show or unused services
No refund will ordinarily be provided for:
- No-shows;
- Late arrival;
- Early departure;
- Missed flights;
- Unused accommodation;
- Unused transfers;
- Missed safari activities; or
- Any other service the traveller elects not to use.
Where a supplier provides a refund, credit or alternative arrangement, LeviaMICE will communicate the applicable option to the traveller.
6. ALTERATIONS TO CONFIRMED BOOKINGS
Once a booking has been confirmed, reducing its value by changing:
- Travel dates;
- Number of travellers;
- Number of rooms;
- Accommodation;
- Meal plans;
- Flights;
- Safari activities;
- Package inclusions; or
- Other components of the itinerary
may result in cancellation or amendment charges.
Any additional costs resulting from a requested alteration will be payable by the traveller.
LeviaMICE will make reasonable efforts to accommodate amendments, but changes are subject to availability and supplier conditions.
7. REFUNDS
LeviaMICE will make reasonable efforts to deliver the services confirmed in the travel itinerary.
Where a service becomes unavailable due to circumstances outside LeviaMICE’s reasonable control, we may seek an alternative service, replacement arrangement, credit or refund where available from the relevant supplier.
Refunds are therefore subject to the applicable supplier’s terms and the amount actually recoverable by LeviaMICE.
No refund is guaranteed for services that a traveller voluntarily does not use.
8. PRICES, TAXES, LEVIES & PARK FEES
Prices quoted by LeviaMICE are based on the rates and information available at the time of quotation.
Unless expressly stated otherwise, prices may be affected by changes in:
- Government taxes;
- Airline charges;
- Park entry fees;
- Conservancy fees;
- Tourism levies;
- Airport charges;
- Fuel surcharges;
- Exchange rates; or
- Supplier rates.
Where a mandatory government or supplier charge increases after quotation or confirmation and LeviaMICE is required to pay the additional amount, the additional cost may be passed on to the traveller.
Any such material change will be communicated to the traveller where reasonably possible.
9. TRAVEL & HEALTH INSURANCE
Travellers are strongly advised to obtain comprehensive travel insurance before departure.
Insurance should, where appropriate, provide cover for:
- Medical expenses;
- Emergency evacuation;
- Repatriation;
- Trip cancellation;
- Travel interruption;
- Lost or damaged baggage;
- Personal belongings;
- Flight disruption; and
- Activities included in the itinerary.
Travellers are responsible for ensuring that their insurance is appropriate for their personal circumstances and planned activities.
LeviaMICE is not an insurer and does not provide insurance coverage unless specifically stated as part of the booked package.
10. PASSPORTS, VISAS & TRAVEL DOCUMENTATION
Travellers are responsible for ensuring that they possess valid:
- Passports;
- Visas;
- Entry permits;
- Health documentation;
- Travel insurance; and
- Other documents required for their journey.
LeviaMICE may provide travel documentation guidance and reasonable assistance with the booking process.
However, final responsibility for meeting immigration, visa and entry requirements remains with the traveller.
11. FLIGHTS & AIR TRAVEL
Flight schedules, aircraft, routes, baggage allowances and operational arrangements are determined by the relevant airline or aviation provider.
Changes, delays, cancellations or operational restrictions imposed by an airline or aviation provider may require adjustments to the itinerary.
Where changes occur, LeviaMICE will use reasonable efforts to assist the traveller and coordinate available alternatives.
Additional costs arising from traveller-requested changes may be charged to the traveller.
12. SAFARI & WILDLIFE EXPERIENCES
Safari activities take place in natural environments and involve inherent risks associated with wildlife, terrain, weather and remote locations.
Game sightings and wildlife encounters cannot be guaranteed.
Safari schedules may also change due to weather, wildlife conditions, road conditions, conservation requirements, aviation operations or other circumstances affecting the destination.
LeviaMICE may modify an activity where reasonably necessary for safety, operational or logistical reasons.
13. FORCE MAJEURE & UNFORESEEN EVENTS
LeviaMICE shall not be responsible for failure or delay in performing an obligation where such performance is prevented or materially affected by circumstances beyond our reasonable control.
Such circumstances may include, but are not limited to:
- Natural disasters;
- Extreme weather;
- War or civil unrest;
- Terrorism;
- Government restrictions;
- Epidemics or pandemics;
- Airport closures;
- Aviation disruptions;
- Fire;
- Flood;
- Power failures;
- Strikes;
- Industrial disputes;
- Changes in government regulations; or
- Other events beyond reasonable control.
Where such circumstances occur, LeviaMICE will use reasonable efforts to assist travellers with alternative arrangements where available.
Any refunds or credits will depend on amounts recoverable from the relevant suppliers.
14. SUPPLIER TERMS
LeviaMICE works with airlines, hotels, safari operators, transport companies, destination management companies and other travel suppliers.
Certain services may therefore be subject to the supplier’s own terms and conditions in addition to these LeviaMICE Booking Terms.
Where a supplier’s mandatory terms differ from these general terms, the applicable supplier conditions may apply to that particular service.
LeviaMICE will communicate material supplier restrictions to the traveller where reasonably possible.
15. LIABILITY
LeviaMICE acts as a travel organiser, facilitator and intermediary for selected travel services.
We will exercise reasonable care in selecting and coordinating suppliers and in arranging the services included in a confirmed itinerary.
However, LeviaMICE is not responsible for circumstances outside our reasonable control or for the independent acts, omissions, delays, cancellations, operational failures or changes of third-party suppliers.
Nothing in these Terms is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.
